A complaint or grievance may arise when a delegate or stakeholder feels dissatisfied with an aspect of their experience with UK Coach Training Academy. This may pertain to the quality of service, the behaviour of staff, the learning environment, assessment processes, or compliance with ICF requirements.
We take all concerns seriously and are committed to addressing and resolving them in alignment with both our organisational values and the professional standards set by the ICF.

Step-by-Step Complaint and Grievance Process
We understand that it requires courage to raise a concern, and we are here to guide you through the process with clarity and support.
Step 1: Informal Resolution
Empowering Dialogue: Whenever possible, we encourage you to raise your concerns informally first. Open communication can often lead to swift and effective resolutions. Speak directly to the individual involved (if appropriate) or raise the matter with a member of our team.

Step 2: Submitting a Formal Complaint
When Informal Action Isnāt Enough: If you feel the concern hasnāt been resolved informally or requires more formal attention, you can submit a complaint in writing. Please include the following details:
- Your name and contact information.
- A clear description of the issue, including dates and any relevant details.
- Any steps you have already taken to address the concern.
- The outcome you are seeking.

Step 3: Internal Review and Resolution
Commitment to Resolution: Upon receiving your complaint, we will conduct a thorough and impartial review. This may involve speaking with you for further clarification, gathering input from relevant parties, and reviewing any supporting documentation.
We aim to resolve all formal complaints within 10 working days, whenever possible. If additional time is required due to the complexity of the matter, we will keep you informed of progress and set clear expectations on the timeline for resolution.
Once we have reached a conclusion, we will provide you with a written response explaining our findings and any steps we are taking in response. Rest assured, all complaints will be handled in strict confidence and in accordance with data protection laws.
Step 4: Escalation and External Referral
Aligning with ICF Standards: If you remain dissatisfied with the outcome, you have the option to escalate your complaint to the International Coaching Federation (ICF). As an ICF-accredited organisation, we honour the ICFās ethical framework and are fully transparent in allowing external review in the unlikely event this becomes necessary.

- Complete Programme Requirements

- Comply with Ethical Standards
- Abide by the ICF Code of Ethics throughout the programme, including the commitment to confidentiality, professionalism, and integrity. Both in and outside of the training environment.
- Engage in Reflection and Growth
- Dedicate time for self-reflection on your coaching practice and development areas, and seek feedback for continuous improvement.

For Full Payments (Ā£3500):
- Up to 30 days before the program start date: If your plans change and you need to cancel, we will provide a full refund, minus a £250 administration fee, to cover enrolment processing costs.
- Between 30 days and 7 days before the program start date: Refunds will be issued for 50% of the amount paid.
- Less than 7 days before the program start date: Unfortunately, due to the preparation and resources allocated for your program, refunds will not be available.
For Payment Plans (£750 Deposit + 4 x £750):
- Deposit (Ā£750): The deposit secures your place on the program, and as such, it is non-refundable. We recommend committing to this step with clarity and confidence in your decision.
- Monthly Payment Refunds (4 x £750):
- Up to 30 days before the program start date: If the program has not yet commenced, all instalments made after the deposit will be fully refunded.
- Once the program begins: Payments for any instalments due remain non-refundable. This is because our training involves personalised engagement, ongoing development, and resources that are tailored to your journey from the first session onward.
Exceptional Circumstances:
We understand that sometimes life takes unexpected turns. In cases of significant hardship or extenuating circumstances, we encourage you to reach out to us directly. Weāll do our best to work with you and explore options that support your needs, whether thatās deferring your enrolment to a future intake or considering partial refunds on compassionate grounds.

Acknowledgement of Certification Requirements
To qualify for the Professional Internal Coach Certificate, all delegates must:
- Complete the 70 hours of training, as outlined in the programme schedule.
- Engage in mentor coaching as per ICF requirements.
- Successfully demonstrate coaching competency in practical assessments.
- Adhere to the ICF Code of Ethics at all times.
- Prepare and submit 6 recorded coaching sessions for written supervision and feedbackĀ

While our aim is to ensure every participant achieves their full qualification, we want to encourage your growth and provide clarity on how partial completion is managed in alignment with ICF-accredited training requirements.

What Partial Completion Means
Partial completion is applicable to delegates who have successfully attended some components of the program but have not fulfilled all requirements to graduate with the full PIC Professional Internal Coach Certificate.
Completion requirements for ICF-accredited programs include:
- Training Hours: Full participation in ICF-approved live training (both online and in-person).
- Skills Assessment: Demonstration of coaching skills to a satisfactory standard as assessed by a qualified mentor.
- Mentor Coaching Hours: Completion of required mentor coaching sessions, as defined by ICF guidelines.
- Practice Coaching Log: Submission of your log showing practice coaching hours.
If you are unable to complete any one or more of these components, partial completion can be recorded, and the following options outlined below can help you navigate next steps.
What Youāll Receive
Delegates who partially complete the PIC Professional Internal Coach Certificate will receive:
- A Certificate of Attendance acknowledging the modules or components you have successfully attended.
- A breakdown of completed training hours and submitted coursework, which may be eligible to count towards future ICF-accredited training programs.
Please note that this Certificate of Attendance is not recognised as an ICF-accredited coaching certificate but may demonstrate valuable professional development for your workplace coaching journey.
Options for Moving Forward
We want to empower you to continue reaching your goals. If you are not able to complete the program in full, the following options are available:

You can rejoin future program intakes to complete the outstanding components within 12 months from your original start date, pending availability and schedule alignment. - Previously attended modules will be credited, meaning you only need to undertake the remaining requirements.

1. Payment Options
- Full Payment: Delegates may choose to pay the full course fee upfront when enrolling.
- Payment Plan: Alternatively, we offer flexible instalment plans to spread the cost of the program. Details of the payment plan, including due dates and amounts, will be provided during registration. Payment plans are subject to an agreement and must be strictly adhered to.
2. Payment Deadlines
- Payment must be completed in full (either as a single payment or the final instalment) by the agreed date prior to completing the program.
- Failure to meet payment deadlines may result in suspension of access to training materials, sessions, or certification submission processes until the account is settled.
3. Cancellation and Refunds Policy
a. Cancellation by Delegate:
- Up to 30 Days Before Start: If cancellation is made at least 30 days before the program begins, a full refund less a £250 administrative fee will be issued.
- From 29 days to 7 days before, 50% of fees will be refunded when payment has been made in full.
- Less Than 7 Days Before Start: Cancellations made less than 7 days before the start of the program will NOT be eligible for a refund. However, delegates may transfer their registration to a future session or another person.
- After Program Start: Once the program has commenced, fees are non-refundable regardless of participation.
b. Cancellation by UK Coach Training Academy:
- In the unlikely event that UK Coach Training Academy cancels or postpones the course, delegates will be offered a full refund or the option to transfer their fees toward a future program.
4. Additional Fees (If Applicable)
- Deferment Fees: Delegates requesting deferment to future course dates may incur a £100 administrative fee.
- Certification Extension: If a delegate needs additional time to submit their coursework (beyond pre-agreed deadlines), an extension fee of £50 applies.
5. Financial Hardship

Partial completion refers to situations where a delegate successfully participates in some components of the training program but does not fulfil all requirements for certification. ICF certification requirements include:
- Completion of the designated coach training hours through live online or in-person participation.
- Successful demonstration of coaching proficiency during skills assessments.
- Completion of required mentor coaching sessions.
- Submission of a validated coaching log for practice hours.
2. Process for Partial Completion
Delegates unable to meet the full completion requirements may:
- Receive a Certificate of Attendance to recognise completed hours or sessions. This document demonstrates professional development achievements but is not an ICF-accredited certificate.
- Be provided with a detailed record of their training hours, assessments, and mentor coaching completed, which may be transferrable to another ICF-accredited program (subject to the new providerās policies).
3. Support Options for Incomplete Delegates
a. Course Deferment
Delegates who are unable to complete the program within the original timeframe may defer to a future session, subject to availability and payment of any applicable deferment fees. Training hours already attended will remain valid for up to 12 months from the original enrollment date.
b. Reentry into Outstanding Components
Delegates may choose to rejoin specific training components or resubmit assessments/practice logs to complete the program requirements, provided this occurs within 12 months.
c. Mentor Support
If additional coaching or feedback is required, delegates may be offered tailored mentorship sessions (additional fees may apply depending on individual needs).
4. Communication of Intent
Delegates must inform UK Coach Training Academy in writing if they are unable to continue the program or need to defer. This written notice should be provided within 30 days of the circumstances arising.
5. Certification Eligibility
For delegates pursuing ICF credentials, it is vital to complete all required training hours, mentor coaching, assessments, and practice logs. Partial completion alone does not qualify for ICF credential application.
6. Retention of Records
UK Coach Training Academy will retain records of all completed training hours and assessments for a period of 24 months, allowing delegates additional time to fulfill requirements if needed.

Eligibility for Credit Transfer
To guarantee consistency, quality, and compliance with ICF requirements, the UK Coach Training Academy will accept and evaluate requests for credit transfer based on the following criteria:

- Credit transfer is available for coach-specific training completed through other ICF-accredited programs.
- Training must align with ICF standards and competencies.

- Eligible training must closely match the content and learning objectives of the Professional Internal Coach Certificate program.

- Delegates must provide official certificates, transcripts, or evidence confirming successful completion of prior training.

Process for Transfer of Credit

Delegates (or sponsoring organisations) can submit a Transfer of Credit Application to the UK Coach Training Academy via email. This application must include:- Evidence of prior training as outlined above.
- A brief statement detailing how the transfer of credit will support your learning journey within the PIC program.

- Applications will be reviewed by our admissions team within 10 business days.
- Each application will be assessed against ICF guidelines, program content, and learning outcomes.

- Approved credit transfers will be confirmed in writing, specifying the number of training hours credited.
- If further information is required, we will contact you directly for clarification or additional documents.
Key Guidelines and Limitations

Maximum Transferable Credit:
Delegates may transfer up to 20 hours of eligible coach-specific training to the Professional Internal Coach Certificate program. -
Completion of Remaining Hours:
To ensure all delegates benefit from the core principles and framework of the PIC program, a minimum of 40 hours of live training through UK Coach Training Academy must be completed to qualify for program certification. -
No Partial Credit:
Credit will not be granted for incomplete courses or training programs that fall below ICF accreditation standards. -
Non-Coaching Training:
Training or professional development outside of coaching (e.g., general management or leadership courses) is not eligible for credit transfer.
For Organisations Purchasing the Program
We recognise that organisations supporting multiple delegates may wish to transfer prior credit for team members with varying levels of prior coach-specific training. Our policy allows for a tailored approach:
- Organisations can submit a single application listing multiple delegates alongside their prior training records and supporting documentation.
- We will work collaboratively with your team to ensure an efficient review process and smooth credential transfer, always aligning with ICF standards.

Purpose of the Policy
This policy aims to:
- Provide clear guidelines for delegates experiencing illness during the PIC program, whether online or in-person.
- Ensure that delegates can continue their progress within the program without compromising their health or learning outcomes.
- Align with ICF standards for coaching education and maintain accreditation compliance.
Policy Guidelines
1. Reporting Illness
If a delegate becomes ill and is unable to attend an online or in-person training session, they must:
- Inform the UK Coach Training Academy as soon as possible by email or phone.
- Provide details of the illness and the anticipated duration of absence, if known.
- If the absence exceeds three consecutive training sessions, delegates may be asked for medical documentation (e.g., a doctorās note).
2. Missed Training Hours
ICF standards require a specified number of direct training hours to be completed for program certification. To accommodate delegates experiencing illness:
- Online Training: Missed sessions may be made up by attending future live sessions (subject to availability) or by completing additional assignments and recordings provided by the training team.
- In-Person Training: Missed sessions will be rescheduled whenever possible. If rescheduling is not feasible, delegates may transfer to a future cohort at no additional cost.
The UK Coach Training Academy will work with the delegate on a case-by-case basis to ensure they meet ICF requirements while addressing their health needs.
3. Flexible Learning Options
For delegates facing long-term illness:
- Hybrid Learning Access: Delegates unable to attend in-person sessions may transition to the online format for affected modules, ensuring no disruption to their education if health permits participation.
- Program Deferral: Delegates may defer enrolment to a later session or cohort if illness prevents active participation. Deferral requests will be reviewed individually; there will be no penalty fees for deferrals due to health reasons.
4. Support During Illness

- Maintaining open communication and understanding their unique circumstances.
- Offering extended deadlines for coursework or assignments.

- Ensuring compliance with ICF hours requirements to enable certification.
- Providing updates to the organisation (with delegate permission) regarding progress and planned next steps.
