Module Structure

Module 1: Start With Why (Inspired by Simon Sinek)

Purpose: Begin by exploring the deeper "why" behind prioritisation. When individuals and teams connect their actions to a greater purpose, motivation and clarity naturally follow.

Activities: Reflection exercises for participants to define their "why" and explore how their work contributes to the organisation’s goals.

Outcome: A clear understanding of how prioritisation aligns with personal and organisational purpose.

Module 2: The Eisenhower Matrix – Manage Urgency vs. Importance

Purpose: Learn this simple but powerful tool for categorising tasks by urgency and importance, helping participants work smarter rather than harder.

Activities: Hands-on exercise where participants categorise typical tasks (or role-specific examples) into the four quadrants: Do, Delegate, Schedule, and Eliminate.

Outcome: A framework for making rapid decisions about what to prioritise, delegate, or drop.

Module 3: Eat The Frog – Tackle Your Biggest Challenge First

Purpose: Overcome procrastination by addressing the most critical, challenging task of the day first.

Activities: A "frog-identification" session where participants identify their biggest task and create a plan to tackle it first thing the next day.

Outcome: Mastery of proactive working and enhanced daily productivity.

Module 4: Communication in Prioritisation

Purpose: Your ability to communicate your priorities impacts how others perceive your effectiveness. This module focuses on aligning expectations and collaborating effectively.

Activities: Role-playing exercises to rehearse communicating priorities to managers, clients, and team members, handling misalignment, and setting shared goals.

Outcome: Confidence in explaining your priorities, managing stakeholder expectations, and avoiding miscommunication.

Module 5: Psychological Resilience and Mindset

Purpose: High-pressure situations demand resilience and a positive mindset. This module focuses on mental strategies to stay calm and focused.

Activities: Practising mindfulness techniques, reframing challenging situations positively, and embracing imperfection.

Outcome: Resilient professionals ready to handle setbacks, focus on what matters, and keep moving forward.

Module 6: Drop the Ball & Sphere of Control

Purpose: Understand that you can't do it all, and that’s okay. This module changes the narrative around "dropping the ball" and focuses on what's truly within your control.

Activities: Sphere of control worksheet (categorising tasks into controllable, influenceable, or out of one’s control) and identifying tasks to let go of.

Outcome: A sense of empowerment and permission to say no to tasks that don’t serve the bigger picture.

Module 7: Pareto's 80/20 Rule – Focus on the Vital Few

Purpose: Learn how to focus on the 20% of tasks that produce 80% of the results.

Activities: Participants review their task lists to pinpoint the 20% high-impact actions driving the greatest progress.

Outcome: Sharper focus on results-producing tasks and a reduction in time spent on low-value activities.

Module 8: The Myths of Multitasking

Purpose: Explore why multitasking is counterproductive and how "single-tasking" leads to better decision-making and productivity.

Activities: A real-time experiment demonstrating the time lost while switching between tasks.

Outcome: Tools to resist the urge to multitask, leading to greater efficiency.

Module 9: Batch Working & The Pomodoro Technique

Purpose: Maximise focus and efficiency without burning out by structuring work into focused blocks of time.

Activities: Practice a 25-minute Pomodoro session for a real task, with reflective feedback.

Outcome: Understanding how to batch tasks and apply time-blocking to maintain focus.

Module 10: The Big Rocks Jar – Prioritise What Matters Most

Purpose: Learn how to identify the "big rocks" in your workload and fit them into your schedule first.

Activities: Interactive demonstration of the Big Rocks Jar with stones and sand to visualise how to manage major priorities before minor ones take over.

Outcome: A new perspective on time management and the importance of allocating time to key priorities first.

Module 11: How to Say “No” with Confidence and Grace

Purpose: A practical guide to boundary-setting that empowers participants to say no to low-value tasks while maintaining positive relationships.

Activities: Role-playing scenarios to practice saying “no” assertively but respectfully.

Outcome: Participants gain clarity and the confidence to say no without guilt, creating space for essential tasks.
